Responsibilities

Under the direction of the AVP and Regional President, the Practice Administrator (PA) is on-site and responsible for the operational and financial oversight of the ambulatory practice. This role functions as an integral part of the regional team and works directly with the Practice Medical Director to drive operational excellence, improve patient experience and act as champions of change. The PA is responsible for coordination, communication and operational support provided to the practice. The PA is responsible for building effective relationships and supporting corporate and regional initiatives. The PA will be focused on maximizing the quality and efficiency of daily practice functions and direct practice objectives to ensure financial profitability through strategic planning to meet long term goals of the practice.

 

  • P&L ownership, to include revenue growth, cost containment, analysis of the impact of operational decisions to profitability including annual budget preparations.
  • Monitor patient access through key reporting to ensure clinician time is fully utilized. This includes driving operational strategies to reduce late cancellations, no-shows and improve fill-rates to drive volumes and maximize patient access.
  • PA is responsible for regular site visits to satellite and outreach clinics for process analysis to ensure efficiency of daily practice functions and staff support.
  • Accountable to evaluate and drive front end revenue cycle performance metrics to assure timely chart completion, charge capture, clean and timely claim submission collaborating with RCM team and vendors to maintain a strong and healthy AR.
  • Maintains a strong working partnership with practice medical director and practice physicians to drive operational excellence.
  • Responsible for holding monthly meetings with physicians and staff to solve workflow problems, build camaraderie and improve patient experience. Holds staff accountable for performance deficiencies and applies necessary corrective action.
  • Maintains strong working relationships with internal departments to support regional and practice initiatives and needs.
  • Manages and/or oversees the recruiting, interviewing, hiring, and onboarding of staff.
  • Oversees the management of staffing needs for the practice by ensuring the availability of properly trained personnel.
  • Maintain proficiency in all information systems, including EHR and PACS systems.
  • Takes ownership of special projects, research data and follows through with detailed action plans and/or required proformas.
  • Implements and ensures compliance with local and corporate policies and procedures. This includes responding to requests and audits from internal departments
  • Actively monitors and reviews monthly financial, operational and revenue cycle reports, including revenue integrity reports, to ensure KPIs and financial targets are met.
  • Implement new strategic business plans as it relates to organic growth initiatives and expansion of services.
  • Responsible to ensure excellent customer relationships by responding to patient complaints and cultivating strong relationships with referral sources and hospital partners, inclusive of monitoring referral trends and intervening when necessary.
  • Oversees daily reconciliation of over-the-counter collections and daily deposits according to policy.
  • Ensures practice compliance with legal requirements related to OSHA, EEO, TEFRA, ERISA, and Wage and Hour.
  • Directs the preparation of information required by the Compliance Department and ensures that all staff are properly educated as directed by the Compliance Department and tasks are completed and resolved according to deadlines set. This includes adherence to SOX controls.
  • Attend corporate Practice Leader, Specialty, and RCM meetings as required.

 

Qualifications

Education: 
  • Bachelor’s Degree preferred.
  • Equivalent combination of relevant education and experience will be considered.
Experience Industry: Healthcare
Experience:
  • 3 – 5 years of healthcare management experience required.
  • Experience with NextGen, Phreesia, & Epic preferred
Skills/Abilities:
  • Knowledge of the local community health care environment sufficient to interact with other health care systems, providers and administrators.
  • Understanding of medical office operations sufficient to oversee its operations and provide support to the Practice Medical Director and physicians.
  • Skill in exercising a high degree of judgment, discretion and decision making necessary to achieve organizational objectives.
  • Must possess analytical skill sufficient to organize and prepare comprehensive reports. Ability to organize and integrate organizational objectives to meet deadlines. Demonstrated ability to effectively communicate in verbal and written forms.
  • Ability to complete assignments and job duties on time with the versatility to work on both financial and analytical projects.
  • Strong business background and strong computer skills (MS Word and Excel competencies are a must)
  • Excellent verbal and written communication skills
  • People management skills and the ability to work independently and as part of a team

The pay for this position ranges from $120,000.00 - $196,000.00 per year and is based on years of relevant experience.

 

This position will have a bonus plan of up to 15% of annual salary based on exceeding performance metrics.
